Job Overview

Operations Coordinators handle a variety of tasks that ensure the smooth daily operations of our business. Coordinate and expedite the flow of work and materials within or between departments to keep orders on schedule.

Responsibilities

* Monitor, control and manage business operations to meet customer expectations and company goals
* Ensure compliance with company standards and procedures
* Create and manage Production Orders in the Order Management System
* Validate configurator outputs for release to production
* Allocate serialized assets to Production and Sales Orders
* Arrange transportation of product based on customer/service/jurisdictional requirements
* Create required bills of lading, commercial invoices and packing lists as needed
* Gather and verify all information necessary to generate Compliance notifications is included in the Sales Order
* Verify shipping notifications and packing slips from Compliance match the product shipping/to be received
* Work with the Operations and Field Service teams to manage work orders for all AGS' products
* Plans, coordinates and manages both scheduled work orders and unscheduled field support, as well as software and hardware upgrades
* Communicates regularly with Field Service Supervisors / Managers to identify labor needs for each work order, license and skills required of the technicians
* Contacts customers via phone and/or email to establish work order times and delivery needs.
* Sets expectations with the customer of the work order start times, technician names and estimated time to complete the project
* Address customer inquiries, resolve issues and proactively obtain customer feedback
* Works with Service and Purchasing to align additional resources such as third-party vendor installations and product deliveries
* Update job knowledge by participating in educational opportunities
* Maintains positive and healthy relationships with various teams to ensure customer service effectiveness
* Liaise between Sales, Service, IAA, TAC and Ops management to ensure smooth operations delivery and install
* Work with Purchasing to coordinate outside processing activities (i.e. Lamination, signs)
* Work closely with Service, Sales, Production, and Compliance to ensure all requirements are met for each order
* Track order progress and communicate status to other departments in the organization
* Identify any roadblocks for order completion and work with all departments to overcome these
* Maintain inventory of used assets in warehouse and serial tags
* Compile reports regarding active orders, used assets in warehouse, assets in the field
* Other duties as assigned

Skills/Requirements

* High School or GED required
* Associate's Degree or equivalent work experience
* 2 to 3 years of experience preferred
* General knowledge of ERP and/or CRM systems
* Experience with coordinating operational activities
* Strong customer service skills: friendly, approachable, and motivated with a strong work ethic and high degree of integrity
* Experience with Microsoft Office Suite Programs
