Description:Medical Staff CoordinatorShift: Full-TimeOU Medicine -
Oklahoma City, OKAs a Medical Staff Services Coordinator, you will
serve an important role as liaison between hospital administration
and the medical staff providers. We're seeking an individual that
excels in organization skills and attention to detail, and can meet
deadline assignments while balancing a diverse range of tasks and
responsibilities. Preferred candidates will have prior experience
in executive administrative, hospital administration, or medical
staff services. This is an excellent opportunity for someone with
advanced administrative experience to contribute to the provision
of exceptional patient care, ultimately assisting in improving the
lives of our patients.General Description: Working under general
direction, supports the medical staff functions as part of the
Medical Staff/Credentialing Services Department, performing duties
of varied nature requiring some independent judgement, making
interpretations and recommendations as appropriateEssential
Functions/Duties:
- Coordinate committee/clinical service meetings to include,
preparation and distribution, agendas, minutes, presentations, as
well as attending and transcribing meeting minutes via laptop
- Distribution and coordination of pertinent information
- Facilitates flow/tracking of information to include policies
and procedures from various committees/clinical service meetings
through appropriate approval process
- Working closely with the Director of Medical
Staff/Credentialing Services, administration and medical staff
leadership handles issues involving the medical staff
- Preparation, distribution and tracking of information as
related to the Impaired and Disruptive Practitioner process
- Run reports, assemble information and populate dashboards for
OPPE/FPPE process for credentialed practitioners
- Researches quality issues and any other issues as
required.
- Schedules appointments and maintains calendars
- Updates departmental orientation manual, policies and
procedures
- Travel arrangements manage expense reports, and check
requests
- Adapts to a changing environment prioritizing and
reprioritizing to meet deadlines and maintain a high quality of
work
- Maintains supply inventory
- Gather and distribute required information for regulatory
entities, such as TJC, CMS, etc.
- Distribution, research and working knowledge of Bylaws, Rules
and Regulations. Assists with the development of the Bylaws, Rules
and Regulations to ensure that the medical staff is aware of
changes.
- Acts as liaison between the Director of Medical
Staff/Credentialing Services and the designated off-site facility
for medical staff issues.
- Key role in projects that directly impact the Medical
Staff
- Create, maintain and communicate ER Call Schedules Direct
External/Internal customers appropriately
- Prepare reports, letters and other confidential materials
- Preparation and distribution of resident meal funds
- Preparation/distribution of access cards
- Create and Maintain email distribution database
- Track, validate monthly expirables, NPI and OIG/GSA exclusion
list and reports
- Auditing of credentialing files
- Archiving credentialing files and confidential information
- Performs other projects and duties as assigned
- Makes interpretations and recommendations as appropriateMinimum
Qualifications:Education: High School Diploma or GEDExperience:
Three (3) years of technical, clerical experience, OR an equivalent
combination of education and experience. Three (3) years of
experience in a relevant healthcare area. Knowledge, Skills and
Abilities: Knowledge of office procedures and equipment. Ability to
communicate effectively both oral and in writing to include,
spelling, grammar and punctuation. Displays excellent interpersonal
skills as well as maintains a constructive, effective working
relationship with others, as well as, demonstrates effective
listening and questioning skills Extensive knowledge in Microsoft
Office applications and Microsoft Outlook.
